Folders Don’t Scale. Systems Do. Most MSP documentation starts with folders. It feels organized. A folder for each client. Subfolders for servers, passwords, notes, and diagrams. This works at a small scale. As environments grow, folders begin to create confusion instead of clarity. Common limitations of folder-based documentation include: 1. Information is stored based on where it was saved, not how it is used 2. Multiple possible locations for the same type of data 3. Lack of visibility into relationships between systems 4. Increased time spent browsing instead of understanding 5. Inconsistent structure across different clients Folders answer one question well. Where is this file? They do not answer the questions technicians actually ask: What is connected? What depends on this? What happens if this changes? Scalable documentation moves beyond storage. They can immediately understand how everything connects.
