“Just Document It” Is Not a Strategy! Many MSPs encourage teams to “just document everything.” The intention is good, but the outcome is usually clutter. When documentation is created without structure, standards, or context, it becomes difficult to use. Over time, more information does not lead to greater clarity. It creates more noise. Common issues with unstructured documentation include: 1. Long notes without clear formatting or hierarchy. 2. Important details are buried within excessive text. 3. Duplicate entries were created without consistency. 4. No clear connection between related systems or assets. 5. Outdated information mixed with current data. This makes documentation harder to trust. Technicians begin to rely less on the system because finding the right information requires effort. Eventually, documentation becomes a backup instead of a primary tool. Effective documentation is about clarity, structure, and usability. Information should be easy to scan, clearly organized, and directly connected to the environment it supports. Every entry should help a technician act faster, not slow them down.
