ABOUT THE ROLE
We’re looking for an operational Swiss-army knife to support and streamline our day-to-day agency operations. This role is the backbone of our business, playing a critical part in ensuring our team operates efficiently by running internal workflows and creating new ones when necessary. The person in this role should be passionate about creating new systems, communicating cross-functionally, and enabling teams to do their best work.
This is a great opportunity for someone who thrives in a fast-paced environment, enjoys building structure, and wants to make a meaningful impact on how a growing agency operates. We’re looking for someone who has the confidence and operational chops to see opportunities for improvement, design applicable solutions, and independently implement them end to end.
To do this role excellently, the Operations Manager is expected to develop a deep understanding of 1AX as well as each client’s business and then leverage that knowledge to improve workflows and procedures. While this role won’t be client-facing to begin, it could evolve to have client interaction for the right candidate.
In this role, you will:
- Maintain a drumbeat for the organization, which includes running all day-to-day business processes and making sure ideas are prioritized without being dropped.
- Proactively identify pain points that would benefit from a new process or system, and then independently design it, implement it, and train everyone on it.
- Spot opportunities to improve existing workflows and systems, suggest changing, and then implement and roll out your changes.
- Identify opportunities to streamline client-facing processes, including onboarding, communications, and ongoing workflows.
- Hold all teammates accountable to following company procedures, while also making everyone feel supported, organized, and efficient.
- Work closely with the leadership team, including the CEO and managing director, but operate autonomously and confidently.
- Start to own and then systemize back office operations. Examples include invoicing, HR processes, and capacity planning.
- Research and suggest software solutions and 3rd party tools when needed.
- Where appropriate, implement automation and AI agents to make the team more efficient. Keep up with the latest AI trends and capabilities.
- Execute team operations like planning team offsites and coordinating travel arrangements.
- Edit and maintain branded collateral and marketing materials, relying on your taste, detail-orientation and Google Slides design skills to do so.
ABOUT YOU
The ideal candidate is:
- 5-6 years into a career in operations or project management. Experience working in agency environments is a big plus.
- A systems-thinker who doesn’t solve problems as one-offs, but instead builds sustainable, scalable solutions to problems.
- A people person and natural leader. It comes naturally to hold people accountable, and your teammates look up to you.
- Confident in their ideas and not afraid to operate autonomously; they’re comfortable seeing a project through from beginning to end without a ton of reassurance along the way.
- Knowledgeable about AI, having implemented at least a few agents and/or automations in a professional environment. You’re excited to use AI to drive efficiency, but at the same time you recognize that it’s not the solution for every workflow.
- Proficient with Asana, and accepting of Asana as our current system of record for task and project management.
- Proficient with Google Suite, including but not limited to Google Slides.
- Excited to make improvements but can also respect and work within systems that are already working.
- Detail-oriented and has an eye for design and branding. It would be second nature for you to edit marketing collateral.
- Comfortable in a start-up environment where no task is too small and everyone pitches in as needed.
- A self-starter and clear communicator
- Someone who loves travel, hotels, restaurants and pop culture
