Joining our OWC Poland team, you will play a vital role in supporting day-to-day operations, providing administrative assistance and helping ensure our services are delivered efficiently and effectively.

What will you be doing?

  • Act as the first point of contact for clients and visitors, providing a professional and responsive service.
  • Provide day-to-day administrative support to the OWC Poland team and management as required.
  • Set up and maintain project and job files in line with company procedures and quality standards.
  • Support project administration, including the processing of invoices, timesheets, expenses, and client billing documentation.
  • Coordinate domestic and international travel arrangements, including flights, accommodation, and visa requirements.
  • Maintain accurate records and documentation, including certifications, visas, permits, and personnel files.
  • Manage office and project documentation, ensuring records are organised, secure, and up to date.
  • Handle incoming and outgoing correspondence, mail, and deliveries.
  • Coordinate office supplies, equipment, and local office service contracts.
  • Ensure compliance with company QHSE policies, procedures, and regulatory requirements.
  • Undertake additional administrative and operational duties as required to support the business.

What are we looking for?

  • Minimum of 5 years' experience in an administrative, office support, or business support role.
  • Proficient in Microsoft Office applications and other standard business systems, with strong computer literacy and document management skills.
  • Excellent verbal and written communication skills in English.
  • Highly organised, self-motivated, and detail-oriented, with the ability to manage multiple priorities effectively.
  • Able to work independently while collaborating effectively with colleagues and stakeholders at all levels.

This position will be based at our office in Warsaw. You must have the right to live and work in Poland
