Surgical Oasis Institute, a premier concierge surgical practice led by Dr. Iraniha, is seeking a highly personable, relationship-driven Cosmetic Surgery Sales Coordinator to join our elite team in Newport Beach.

This role is ideal for someone who thrives in a patient-facing, sales-focused environment and is passionate about helping others through their aesthetic and wellness journeys. You will serve as the primary liaison between prospective patients and our surgical team, guiding them from their initial inquiry through consultation, surgery scheduling, and post-op follow-up. Success in this role depends on your ability to build trust, connect emotionally, follow up with care and consistency, and ultimately convert leads into booked surgeries.

We’re looking for someone who is warm, outgoing, and polished, with excellent communication skills and a genuine love for making patients feel heard, supported, and excited about their transformation.

Key Responsibilities:

1. Lead Management & Patient Engagement:

  • Serve as the first point of contact for all prospective patients, engaging inquiries with warmth and professionalism.
  • Proactively manage and respond to leads via phone, email, and online platforms with a focus on timely follow-up and conversion.
  • Build rapport with new leads, effectively communicating the value of our treatments to encourage scheduling and ongoing care.

2. Relationship-Based Treatment Coordination:

  • Guide patients through treatment options, answer questions thoroughly, and align care plans with their goals and clinic protocols.
  • Ensure every patient feels supported, understood, and informed throughout the treatment journey.
  • Coordinate appointments, maintain accurate patient records, and streamline communication between patients and the clinical team.

3. Front Desk & Reception Oversight:

  • Manage front desk operations including check-ins, check-outs, appointment confirmations, and phone communications.
  • Create a friendly, welcoming atmosphere that fosters trust and loyalty from the moment a patient walks through the door.

4. Financial Transparency & Payment Support:

  • Handle payment collection with accuracy and discretion.
  • Provide clear, upfront information about pricing, payment plans, and policies.
  • Respond to billing questions with patience and clarity to ensure peace of mind.

5. Follow-Up & Patient Satisfaction:

  • Maintain consistent follow-up with patients post-treatment to reinforce care plans and check in on outcomes.
  • Address concerns promptly and positively to enhance patient satisfaction and long-term retention.
  • Actively seek feedback to improve the patient experience and exceed expectations.

6. Inventory & Supply Coordination:

  • Ensure treatment rooms are fully stocked and organized by monitoring and managing clinical supply orders.
  • Collaborate with vendors to maintain reliable, timely inventory levels for seamless clinic operations.

Qualifications:

  • Experience in a medspa, plastic surgery, or healthcare/cash-pay setting in a patient-facing or treatment coordination role.
  • Exceptional communication and interpersonal skills with a passion for building patient relationships.
  • Proven ability to manage leads, follow up persistently, and drive conversion in a customer service or sales-focused environment.
  • Skilled in scheduling, payment handling, and CRM or lead management platforms (preferred).
  • High level of professionalism, discretion, and attention to detail.
