1. Position Purpose

The HPC Receptionist – First Team Players Area is responsible for managing the reception area within the High Performance Center designated for First Team players, coaching staff, technical staff, medical team and authorized visitors.

The role requires a high level of professionalism, confidentiality and service quality due to the sensitive and high-profile nature of the First Team environment. It also supports smooth access coordination, visitor handling, internal communication and daily operational requirements related to the First Team area.

2. Key Responsibilities

A. HPC Reception Operations

  • Manage the HPC reception area designated for First Team players and authorized personnel.
  • Welcome and assist First Team players, coaches, technical staff, medical staff, VIP guests, consultants and authorized visitors in a professional manner.
  • Maintain a professional, organized and confidential reception environment suitable for First Team players.
  • Provide basic guidance to authorized visitors and direct them to the correct meeting room, office, training area or contact person.
  • Support day-to-day reception and operational requirements within the First Team players area.
  • Perform any additional duties assigned by the Operations Department.

B. First Team Access Coordination

  • Coordinate access to the First Team players area in line with club procedures and authorization requirements.
  • Work closely with Security and Operations to ensure only authorized personnel are granted access to the HPC area.
  • Maintain accurate visitor logs and access records for First Team players.
  • Confirm visitor information with the relevant internal contact before coordinating access.
  • Report access issues, unauthorized movement, visitor concerns or operational incidents immediately.
  • Support access arrangements for First Team meetings, training sessions, VIP visits, official visits and matchday requirements.

C. Communication and Stakeholder Support

  • Communicate effectively in English with international players, coaches, consultants, guests and stakeholders.
  • Handle inquiries professionally and escalate sensitive matters to the direct supervisor when required.
  • Support coordination related to player movement, training schedules, visitor arrangements and guest arrivals.
  • Coordinate with First Team Operations, coaching staff, medical team, hospitality, facility management and security teams when required.
  • Maintain professional communication and a service-focused approach with all authorized facility users.

D. Confidentiality and Professional Conduct

  • Maintain strict confidentiality when handling player-related information, technical staff matters, visitor details and operational updates.
  • Protect sensitive information related to First Team activities, schedules, visitors and internal communications.
  • Exercise discretion when dealing with players, coaching staff, VIP guests, consultants and external stakeholders.
  • Escalate high-profile or sensitive matters through the approved reporting line only.
  • Maintain a professional front-of-house standard that reflects the club's expectations for the First Team environment.

E. Operational Support for Training, Meetings and Visits

  • Support reception arrangements for First Team meetings, training sessions, VIP visits, official visits and matchday-related requirements.
  • Coordinate basic arrangements such as visitor arrival, access guidance, meeting directions, waiting areas and support requirements.
  • Follow up with housekeeping, hospitality, maintenance, IT or facility teams when operational support is required.
  • Report cleanliness, safety, maintenance, lighting, air conditioning or facility observations affecting the reception area.
  • Ensure visitor flow and reception activity do not disturb First Team operations or training requirements.

F. Documentation and Reporting

  • Maintain HPC visitor logs, access records, reception notes and handover information as instructed by the line manager.
  • Document visitor concerns, access observations, incidents, pending items and required follow-up actions.
  • Prepare clear updates and handovers for the Operations Supervisor or relevant team member when required.
  • Ensure records are accurate, confidential and maintained in line with operational procedures.
  • Support the implementation of SOPs related to HPC reception, access control, confidentiality and reporting.

Requirements

3. Required Qualifications

  • Diploma or Bachelor's degree in Business Administration, Hospitality, Public Relations, Sports Management or a related field.
  • Previous experience in reception, executive front office, VIP hospitality, sports club operations, hotel front desk or customer service is preferred.
  • Experience in football clubs, sports environments, VIP reception or high-profile facilities is an advantage.
  • Strong proficiency in English is required and good communication skills in Arabic are preferred.
  • Good knowledge of Microsoft Office and basic administrative systems.

  • Readiness and professional presentation of the HPC reception area.
  • Accuracy and completeness of visitor logs and First Team access records.
  • Compliance with access control, confidentiality and First Team area procedures.
  • Response time to reception inquiries, visitor arrivals and operational requests.
  • Quality of coordination with Security, First Team Operations, coaching staff, medical team and relevant departments.
  • Number of unresolved access, visitor or reception-related observations.
  • Quality and timeliness of handover, reporting and escalation.
  • User satisfaction with HPC reception support and front-of-house service.

6. Working Conditions

  • The role is front-of-house and requires continuous presence within the HPC reception area.
  • The role requires professional interaction with First Team players, coaches, technical staff, medical staff, VIP guests and approved visitors.
  • Weekend, matchday, training day, event and holiday support may be required based on club requirements.
  • The employee must maintain confidentiality and professional conduct at all times due to the sensitive First Team environment.
  • The role requires coordination with Operations, Security, First Team Operations, medical, hospitality, facility management and service providers.

7. Overall Purpose of the Role

The overall purpose of the HPC Receptionist – First Team Players Area role is to provide a professional, confidential and well-controlled reception service within the High Performance Center, support authorized access and visitor coordination for the First Team environment, maintain accurate records, and ensure that all reception-related operational matters are properly documented, escalated and handed over.
