Role Overview
The Sales Operations Specialist supports the end‑to‑end sales operations for capital equipment, ensuring smooth coordination from pipeline tracking to delivery and post‑installation follow‑up.
This is a hands‑on operational role working closely with sales teams, distributors, finance, and service teams. The position plays a key role in ensuring deal accuracy, operational efficiency, and timely revenue capture.
Key Responsibilities
1. Pipeline & Deal Tracking
- Maintain CRM system (e.g. Salesforce / Dynamics) to track capital equipment opportunities and long sales cycle
- Ensure accuracy and timely updates of deal status, timelines, and probabilities
- Support review of quotes and commercial terms, highlighting exceptions or gap
- Coordinate internally to ensure readiness for order execution
2. Order Fulfilment & Revenue Suppor
- Coordinate with internal teams and distributors to support timely delivery and installation
- Track shipping terms (Incoterms) and ensure required documentation for revenue recognition
- Follow up on installation and acceptance documentation (e.g. installation certificates
- Maintain clear records to support audit and reporting need
3. Tender & Documentation Suppor
- Support preparation of tender submissions by coordinating required documentatio
- Maintain repository of technical specifications and regulatory certifications (e.g. CE/FDA
- Assist with documentation for large and complex capital deal
4. Financial & Commercial Coordinatio
- Support coordination with finance on payment terms, documentation, and approval
- Assist in tracking deal progress and supporting internal approval processes
- Provide operational support on pricing and contract documentation
5. Installed Base & Asset Tracking
- Maintain accurate tracking of installed base (equipment location, status, utilization
- Monitor and manage demo equipment pool, ensuring visibility and proper usag
- Support reporting on assets to improve planning and deployment
6. Service & Lifecycle Support
- Track warranty periods and service timelines, supporting follow‑up action
- Assist in capturing opportunities for service contracts and lifecycle management

- Min 3–6 years of experience in sales operations, commercial operations, or logistic
- Experience in medical device / capital equipment industry is preferred (robotics experience a plu
