Who you are:

We are seeking a proactive and highly organized Executive Assistant to support the Managing Director of our Italian affiliate.

The successful candidate will play a key role in ensuring the smooth operation of the local organization by providing executive support to the Managing Director, managing administrative and procurement-related processes through SAP-based platforms, and supporting the local commercial team in day-to-day business activities.

The position requires frequent interaction with both local and international stakeholders; therefore, fluent English and Italian are essential.

Key Responsibilities:

  • Provide day-to-day administrative and organizational support to the Managing Director.
  • Coordinate internal and external communications.
  • Organize company meetings, events, and business visits.
  • Handle confidential information with professionalism and discretion.
  • Create and manage Purchase Requisitions through SAP-based systems and internal procurement platforms.
  • Monitor approval workflows and follow up on purchase orders and related processes.
  • Maintain accurate records and documentation related to procurement and administrative processes.
  • Assist in ensuring compliance with internal controls and corporate requirements.
  • Provide administrative and operational support to the local Sales team.
  • Assist with the coordination of customer meetings, events, exhibitions, and commercial initiatives.
  • Coordinate with internal functions such as Finance, Customer Service, Marketing, and Supply Chain to facilitate business operations.
  • Support local business projects and initiatives as required.

Who you are:

  • Fluent Italian and English (written and spoken) are mandatory.
  • Minimum 2–3 years of experience in an Executive Assistant, Administrative Assistant, Office Coordinator, Office Manager, or similar support role.
  • Previous experience in an international or multinational company is preferred.
  • Experience working with Microsoft Office Suite and ERP systems, preferably SAP, is preferred.
  • High attention to detail and accuracy.

Salary Package:

  • Annual Base Salary (RAL): Part Time €25.000 - € 28.000
  • Variable Compensation: 5% of RAL
