Executive Assistant

Location: Canary Wharf, Bank Street (Onsite)

Contract: 3 month rolling with view to extend up to 12 months

We are looking for a highly organised and proactive Executive Assistant to support 2-3 Managing Directors and a team of Executive Directors within the Commercial & Investment Bank (CIB), EMEA. The role involves providing high-quality executive support including complex diary management, booking and coordinating travel, processing travel expenses, and ensuring smooth day-to-day administration. The successful candidate will be highly organised, able to multitask effectively, and comfortable working in a fast-paced environment while supporting senior stakeholders with professionalism and discretion.

What You'll Do

  • Build and leverage a robust network at senior and client executive levels, including Amex, Global Technology, EMT, Business Management, and Business Support Management, with keen insight into priorities, organisational dynamics, and key stakeholders
  • Handle executive Outlook duties for inbox/diary management, intricate travel logistics (flights, trains, VISAs, accommodation, ground transport), and itineraries amid frequent last-minute adjustments
  • Organise high-level meetings, conference calls (Teams/Zoom/iMeet), telepresence, events, town halls, off-sites, roadshows, and routine admin tasks like room bookings, filing, and supplies
  • Oversee Concur expense submissions, reimbursements, personal balances, and monthly reconciliations, collaborating closely with Expense Management (EMT)
  • Demonstrate proficiency in core systems (Concur, eSource, Travel Portal, OMD, Cross Border) to ensure precise data input and operational efficiency
  • Collaborate with CIB assistant team for mutual coverage, mentor newcomers, and foster group cohesion through teamwork, integrity, and a supportive ethos
  • Drive Line of Business projects, including year-end committee support, MIS/reporting, budget/headcount tracking, resiliency initiatives, and oversight of forums (DUCC, Com Com, BRC, Annual Reviews)
