We are looking for a highly organized and customer-focused Short-Term Rental Virtual Assistant who is fluent in both Japanese and English. In this role, you will support the daily operations of our short-term rental portfolio by managing guest communications, coordinating reservations, and ensuring an exceptional guest experience from booking through check-out.

Key Responsibilities

  • Respond to guest inquiries and reservation requests in both Japanese and English.
  • Manage listings and calendars across platforms such as Airbnb, Booking.com, and VRBO.
  • Coordinate check-ins, check-outs, and guest support.
  • Handle booking modifications, cancellations, and special requests.
  • Communicate with cleaners, maintenance teams, and vendors to ensure properties are guest-ready.
  • Resolve guest concerns promptly and professionally.
  • Monitor occupancy, upcoming reservations, and operational tasks.
  • Maintain accurate records and update property information as needed.
  • Perform general administrative and operational support tasks.

Requirements

  • Fluent in Japanese and English (written and spoken).
  • Previous experience in short-term rentals, hospitality, customer service, or virtual assistance is preferred.
  • Strong written communication and interpersonal skills.
  • Excellent organizational and time management abilities.
  • Comfortable using platforms such as Airbnb, Booking.com, VRBO, Google Workspace, Slack, and property management systems (experience with Hostaway, Guesty, Hospitable, or similar is a plus).
  • Ability to multitask, prioritize effectively, and work independently.
  • Reliable internet connection and a quiet remote workspace.
  • Willingness to work flexible hours, including weekends or holidays if required.

Preferred Qualifications

  • Experience with property management systems (PMS).
  • Familiarity with channel managers and dynamic pricing tools.
  • Experience handling guest escalations and resolving issues professionally.
  • Knowledge of the Japanese hospitality market is an advantage.
