Administrative Assistant Apprentice Position Description Position Title: Administrative Assistant Apprentice Program: HOPE Academy Ranch USA, A Division of Voices In Unity for HOPE, Inc. Purpose of Position: The Administrative Assistant Apprentice supports the daily operations, communications, scheduling, records, and participant experience of HOPE Academy Ranch USA and related HOPE programs while learning the skills needed for a long-term administrative career. Key Responsibilities

• Welcome guests, participants, volunteers, families, and partners with warmth and professionalism.
• Answer phone calls, respond to basic inquiries, and route messages appropriately.
• Support scheduling, calendars, appointments, interviews, meetings, and program events.
• Assist with participant files, forms, attendance records, applications, and basic data entry.
• Prepare documents, packets, flyers, reports, email drafts, and meeting materials.
• Maintain organized digital and paper filing systems.
• Support donor, volunteer, partner, and community communications.
• Assist with social media, newsletters, program updates, and event preparation as assigned.
• Maintain confidentiality and protect sensitive participant and organizational information.
• Participate in apprenticeship training, feedback sessions, and professional development. Ideal Candidate Qualities
