About The Role

We are seeking a proactive and ambitious Executive Assistant to join our New York City office. This pivotal role involves providing comprehensive support to our leadership team, including an Executive Vice President and senior Business Development executives. The ideal candidate will be highly organized, resourceful, and capable of managing a diverse range of administrative and strategic tasks in a fast-paced environment. Exceptional communication skills, discretion, and the ability to prioritize effectively are essential for success in this role.

The Executive Assistant will serve as a key point of contact within the organization, facilitating smooth operations across multiple teams and supporting critical business initiatives. This role offers an exciting opportunity to work closely with senior leadership, contribute to strategic projects, and help maintain an efficient, collaborative office environment that drives the company's growth and success.

Qualifications

  • Minimum of 2+ years of experience in an administrative or executive support role
  • Exceptional organizational and time management skills with strong attention to detail
  • Proven ability to manage competing priorities effectively
  • Excellent written and verbal communication skills
  • High level of discretion, judgment, and integrity
  • Proactive, resourceful, and solutions-oriented approach
  • Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint)
  • Experience supporting multiple executives or a growing team is highly desirable
  • NYC-based role requiring five days per week in-office presence, with occasional travel to Asbury Park (via company shuttle)

Responsibilities

  • Manage and prioritize calendars for Business Development leaders, ensuring alignment with strategic priorities and scheduling high-impact meetings
  • Coordinate communication across the Business Development team and cross-functional partners to facilitate smooth information flow and follow-up
  • Arrange travel logistics, including flights, accommodations, and transportation, aligned with team schedules and project needs
  • Organize internal and external meetings, including preparing agendas, materials, and ensuring effective execution
  • Track and manage key documents, approvals, and signatures in collaboration with internal teams such as legal and finance
  • Provide administrative support for Business Development initiatives and special projects
  • Process and reconcile expenses accurately and in a timely manner
  • Oversee day-to-day office operations in NYC, including ordering supplies, maintaining equipment, and ensuring a productive work environment
  • Assist with ad hoc tasks and priorities as they arise, supporting overall team efficiency and effectiveness
