Summary: Supports daily office operations while delivering professional, high-quality service to clients and staff. This role manages front-desk activities, coordinates administrative tasks and office services, and ensures efficient communication and a welcoming, organized environment.
Duties and Responsibilities:
- Provide reception coverage for breaks, lunches, vacations and as needed.
- Answer, screen, direct, and place telephone calls and direct lawyers, clients, staff and visitors to appropriate destinations.
- Assist in backup support of catering orders.
- Demonstrate comprehensive knowledge of conference room specifications, including seating capacity and audiovisual resources, to ensure accurate and efficient room reservations based on meeting requirements.
- Ensure all aspects of conference room reservations are completed with relevant, accurate information to facilitate successful meetings and adjust as necessary to accommodate current and last-minute changes.
- Manage conference rooms, catering areas, visitor offices, and break rooms are well-maintained, including setting up and breaking down events and replenishing supplies.
- Keep all client spaces and visitor offices clean, organized, and ready for use at all times.
- Oversee all functions of hospitality services.
- Perform scan, copy, print, mail and other administrative tasks.
- Receive, sort and distribute mail and deliveries; circulate routings.
- Conduct move projects and other duties, as needed.
- Uphold high standards of confidentiality, discretion, and integrity, particularly with respect to all sensitive and/or confidential firm and client information to which this position will have access.
Requirements:
- 1+ years’ experience in a law firm or other service-oriented environment; High School Diploma required, BA/BS preferred.
- Excellent written, verbal, organizational, technical and interpersonal skills.
- Ability to sit, stand, work in confined spaces, lift and move up to fifty pounds, and use various hand tools.
- Strong customer service skills; Must be responsive, reliable, and a self-starter with minimal supervision.
- Adhere to timely and regular attendance; flexible to planned (and sometimes unplanned) overtime.

Salary Range of $50,000 - $62,000 (Dependent on experience)
