Job Summary

We are looking for a motivated and detail-oriented Air Export Operations Officer to support the execution of air freight export shipments. In this role, you will assist in managing shipment processes from booking to departure, ensuring accurate documentation, timely updates, and compliance with aviation and export requirements.

You will work closely with internal teams and airlines while developing your operational knowledge and problem-solving skills in a fast-paced logistics environment.

Key Responsibilities

Shipment Execution & coordination

  • Support coordination and execution of air export shipments from booking to uplift
  • Prepare and verify HAWB/MAWB documentation prior to shipment execution
  • Monitor FWB/FHL transmissions and ensure data accuracy before cargo transfer
  • Coordinate with airlines and internal teams to meet cargo cut-off times
  • Track flight schedules and shipment progress to support timely uplift

Documentation & Regulatory Compliance

  • Follow SOPs to ensure documentation accuracy and completeness
  • Assist in reviewing permit reports and ensuring proper declaration of shipments
  • Prepare and submit export permit documentation within required timelines
  • Support compliance with airline, IATA, AED, and customs export regulations
  • Maintain proper documentation for audit and compliance purposes

Shipment Monitoring & Issue Handling

  • Track shipment milestones, cargo status, and uplift timing
  • Update shipment data in CargoWise One or relevant systems
  • Identify basic discrepancies (e.g., documentation errors, timing gaps)
  • Escalate issues to senior team members in a timely manner
  • Assist in investigating shipment issues and follow up on corrective actions

Billing & Operational Support

  • Assist in preparing billing and costing data for invoicing processes
  • Ensure operational data aligns with billing and costing requirements
  • Liaise internally (e.g., Accounts team) to clarify billing-related information
  • Maintain accurate records of shipment and financial data

Systems & Data Management

  • Update shipment milestones and details in CargoWise One or relevant systems
  • Ensure data accuracy and completeness in all operational entries
  • Maintain proper electronic filing and system records
  • Support system-related data checks and reconciliation activities
  • Support process improvement initiatives and SOP enhancements
  • Participate in team discussions and operational updates
  • Assist in identifying process gaps and suggesting improvements
  • Perform ad-hoc duties assigned by Supervisor to support team objectives

Requirements & Competencies

  • Diploma in Logistics, Supply Chain, or related field
  • 1–2 years experience
  • Basic knowledge of air freight and export documentation
  • Familiarity with CargoWise is an advantage
  • Strong attention to detail
  • Willingness to learn problem-solving skills
  • Good communication skills
  • Ability to multitask in a fast-paced environment
  • Willingness to work shifts and overtime, when required
