We’re Hiring: Sr. Executive - TA Operations | Contract Role | Gurugram

As part of our TA Operations (Scheduling & Coordination Team), you will play a critical role in managing end-to-end interview scheduling and ensuring a smooth experience for both candidates and hiring teams.

Please Note: This is a Contractual Role.

Interview Coordination

  • Manage end-to-end interview scheduling across multiple rounds (HR, Technical, Business)
  • Coordinate with candidates and panelists to align availability efficiently
  • Ensure timely interview scheduling by confirming interview requests within defined process expectations from initiation.
  • Maintain high process accuracy by minimizing scheduling errors across all interview coordination activities.

Calendar Management

  • Handle complex calendar scheduling across multiple stakeholders
  • Resolve conflicts, overlaps, and last-minute changes proactively
  • Ensure the interview scheduling cycle is completed efficiently from candidate availability to final confirmation of interview slots.

Stakeholder Engagement

  • Work closely with recruiters, hiring managers, and interview panels
  • Ensure timely communication and alignment on interview plans

Candidate & Stakeholder Communication

  • Share interview invites, confirmations, and instructions
  • Ensure a smooth, professional, and engaging candidate experience
  • Minimize interview no-show instances through proactive coordination and effective communication with candidates and interviewers.

Logistics Management

  • Set up virtual interview links / meeting rooms
  • Ensure all logistical arrangements are in place prior to interviews
  • Maintain a low rescheduling rate by minimizing coordination gaps and process inefficiencies.

Tracking & Reporting

  • Maintain accurate updates in ATS and internal trackers
  • Monitor scheduling SLAs and support process adherence

Offer Management

  • Drive strong offer acceptance by ensuring seamless management of documentation and logistics, with any deviations proactively flagged and addressed in collaboration with recruiters.
  • Ensure timely completion of offer approvals from initiation through to final sign-off.
