The Fleet Manager leads the optimization of vehicle operations, ensuring efficient execution, maintenance, and cost control across the company's fleet. They are responsible for overseeing day-to-day management, which includes monitoring vehicle usage, scheduling and dispatching trucks, and coordinating with drivers to ensure efficient execution of loads. Additionally, the Fleet Manager tracks fuel consumption, manages operational costs, and swiftly addresses any issues such as breakdowns or delays. Working closely with operations and administration teams, they ensure seamless transport services while driving fleet performance and safety.
Fleet Operations Management:
- Oversee all aspects of fleet operations, ensuring that scheduling, routing, and dispatching are optimized for efficiency and cost-effectiveness.
Fleet Maintenance:
- Develop and enforce a preventive maintenance program to keep vehicles in top condition, coordinating with mechanics or service providers to manage repairs and minimize downtime.
- Keep track of vehicle servicing schedules and book maintenance and repairs proactively.
Fuel and Cost Management:
- Monitor and control fuel usage and overall fleet expenses. Implement strategies to reduce fuel consumption and find ways to reduce costs without compromising quality.
Regulatory Compliance:
- Ensure that the fleet meets all industry and government regulations related to safety, licensing, and environmental standards. Keep track of all necessary documentation, permits, and certifications.
Driver Management and Support:
- Train and support drivers, ensuring they understand and follow all safety protocols and company policies.
- Implement driver performance evaluations and provide ongoing coaching.
- Brief and debrief drivers daily and support them during the execution of trips.
- Monitor and manage driving time and plan off days.
- Develop and manage driver leave rosters, ensuring adequate coverage for operations while accommodating leave requests fairly and efficiently.
- Keep track of kilometres driven and submit monthly to management.
- Oversee the administration and management of driver Acknowledgment of Debt (AOD) forms, ensuring compliance with company policies and resolving related queries promptly.
Safety and Risk Management:
- Develop and enforce safety protocols to minimize risks. Investigate incidents or accidents, identify root causes, and implement corrective actions to prevent recurrence.
- Identify risky behaviour and poor driver behaviour and take corrective action.
Data and Performance Analysis:
- Use data analytics to track fleet performance metrics (such as fuel consumption, CPK, EPK, etc.). Analyze trends and make data-driven decisions to improve efficiency and reduce costs.
Budgeting and Financial Controls:
- Prepare and manage the fleet budget, ensuring costs stay within limits. Track expenses and find cost-saving opportunities without impacting fleet quality.
- Monitor and manage financial KPIs, including Cost Per Kilometer (CPK), fuel consumption, driver overtime, maintenance costs, and tyre usage.
Client Communication and Service:
- Maintain regular communication with clients to ensure timely updates on delivery status, resolve any service issues, and build strong client relationships.
Technology Implementation:
- Oversee the integration of technology solutions, like telematics and GPS systems, to improve fleet management, track vehicle locations, and gather data to inform decision-making.
Fleet Controller Supervision:
- Direct and manage Fleet Controllers, providing daily instructions and guidance to ensure effective completion of tasks and alignment with operational goals.
