Facilities Manager

Entrepreneurs First

San Francisco Bay Area

Description

Geographically based in San Francisco, you will own the physical spaces that power our US programs. Keeping our beautiful 501 Folsom office and our Founder Residences running flawlessly so that founders and the EF team can do their best work.

Our SF site is the global hub for EF founders and companies from across the world. As part of the Talent Agent model we bring together exceptional individuals who live together in our Founder Residences and work out of our 501 Folsom office.

Joining the US operations team, you will be the person who makes our spaces feel uniquely special - safe, well-maintained, and welcoming. You will play an integral role in building EF’s reputation as one of the best places in the world to build an early-stage company.

Please note: This role requires you to be able to work up to five days a week across our San Francisco office and Founder Residences, and to be reachable for site emergencies outside of standard hours.

Requirements

  • You have hands-on experience managing and getting the best from vendors. You've sourced and worked closely with external suppliers (contractors, cleaners, handypeople, security) and are comfortable holding them accountable – getting quality work delivered on time and on budget. You bring structure and process to environments that lack it, and take pride in building systems that let teams operate at the highest level.
  • You own budgets and have experience owning spending decisions. You're comfortable owning a facilities budget end-to-end – tracking and reconciling spend, weighing trade-offs, and consistently finding ways to deliver a better environment more cost-efficiently. You make confident decisions with the information you have, and know when something needs to be escalated.
  • You are hands-on, unfazed by ambiguity, and thrive juggling priorities. You're comfortable rolling up your sleeves – whether that's fixing a problem yourself or knowing exactly who to call. You flourish in fast-paced environments with high levels of change, switching context easily and keeping multiple locations running at once. Your approach to problem-solving is calm, methodical and determined, and when the answer isn't obvious you think on your feet and take ownership of the outcome.
  • You are a clear communicator who builds trusted relationships. You have a high EQ and can flex your style across founders, the EF team, landlords and vendors – negotiating firmly with suppliers one moment and handling a sensitive resident issue with discretion the next. You're a team player whose colleagues trust you to "make things happen."

Reasons Not to Take This Job

  • You want a structured 9–5pm job with clear, fixed responsibilities – working in operations at a fast-paced company requires a scrappy, proactive and flexible mindset as we evolve our offering to best serve our founders in San Francisco.
  • You want a slow ramp-up before being given responsibility – we’ll equip you with what you need to get started, but doing well here means diving in headfirst and being hungry to make an impact fast.
  • You want to work remotely – this role requires you to be across our San Francisco office and Founder Residences in person, and may involve the occasional weekend, evening or out-of-hours response as part of delivering on our founder experience.

Responsibilities

  • Own and maintain the 501 Folsom office, creating an environment where founders and the EF team thrive: You will take complete ownership of our office space in the heart of San Francisco, taking pride in how we present it to investors and founders. As we open the space out to alumni and portfolio companies, you will own how we operationalise this. The role includes day-to-day upkeep (anything from refilling our coffee machine to collecting the mail), managing relationships with the building landlord and property management, overseeing cleaning and maintenance vendors, running equipment audits, and keeping the space fully stocked and presentable at all times.
  • Manage our Founder Residences end-to-end: You will be responsible for the smooth running of the places our founders call home during the program. This spans move-ins and move-outs, furnishings and supplies, coordinating cleaning and laundry services, resolving maintenance issues quickly, liaising with landlords and property managers, and ensuring each residence is safe, comfortable and our founders are able to just focus on building. You will be the first point of contact for residents and will handle issues with discretion, care and competence.
  • Own health, safety and compliance across all sites: You will lead on health and safety for both the office and the residences – risk assessments, fire safety and emergency procedures, first aid provisions, and ensuring we meet our obligations under local regulations and our lease agreements. You will keep clear records and proactively close any gaps before they become problems.
  • Manage vendors, budgets and facilities spend: You will source, negotiate with and manage external vendors. We have an existing roster (but it will be your job to fill any gaps) from contractors and handypeople to cleaners, security and supply providers. You will own facilities budgets, track and reconcile spend, and consistently find ways to deliver the best environment in the most cost-efficient way.
  • Support seamless event operations: We run frequent events out of our San Francisco office, ranging from small fireside chats to larger demo days. You will provide the facilities backbone for these events – room set-up and reset, AV and equipment readiness, access and security, catering logistics, and ensuring the space looks and runs to the highest standard with only light guidance.
  • General operational and IT support: You will be a consistent thread across EF’s US operations, working with both the Talent Agent and SF Launch teams, and will own basic IT operations across sites (e.g. wifi and AV troubleshooting, device set-up, escalating to IT where needed).
