Role Summary

We are hiring a highly capable Chief of Staff to act as the founder's right hand across multiple businesses and personal operations. This role is uniquely multi-entity, blending executive support, operations, project management, and financial/legal coordination across several ventures and personal affairs. You will step into an environment where little is structured today and own the build-out of systems, processes, and execution end-to-end. High trust, high autonomy, high visibility.

Key Responsibilities

  • Own and manage the founder's inbox, calendar, travel, and day-to-day personal operations across multiple businesses
  • Build and maintain systems for organization, tracking, and execution (Notion dashboards, trackers, SOPs)
  • Coordinate projects and priorities across multiple businesses and entities simultaneously
  • Manage vendors, contractors, and hiring pipelines across different entities
  • Oversee financial operations: bill pay, expense tracking, subscription management, monthly reconciliations in QuickBooks Online
  • Support tax and legal coordination: manage deadlines, prepare materials, coordinate with CPAs and counsel, ensure seamless execution of key meetings
  • Lead setup and operational build-out for new business entities (registrations, banking, software stack, vendor accounts)
  • Support ongoing business initiatives including hiring, market research, and cross-functional coordination
  • Act as the central hub between the founder and external partners, contractors, and employees across ventures
  • Anticipate the founder's needs; surface decisions early; remove blockers before they escalate
  • Maintain strict confidentiality across intertwined personal and business matters

Required Qualifications

  • 3+ years in a high-responsibility role (Chief of Staff, Executive Assistant to a founder, Operations Lead, or similar) within a startup or founder-led environment
  • Experience directly supporting a founder or senior executive in a fast-paced, ambiguous setting
  • Strong operational and project management skills with proven ability to build systems from scratch and manage multiple priorities across domains
  • High level of ownership and accountability — comfortable making decisions independently and driving outcomes without close supervision
  • Exceptional attention to detail and organizational skills under deadline pressure
  • Strong written and verbal communication; able to adapt tone and voice when ghost-writing for the founder
  • Comfortable managing both personal and business responsibilities
  • Ability to prioritize effectively in a fast-moving, ambiguous environment
  • Strong proficiency with Notion; working familiarity with QuickBooks Online and Superhuman
  • Fully fluent in English
  • Ability to commit long-term and full-time

Preferred Qualifications

  • Experience supporting a founder running multiple businesses or holding companies simultaneously
  • Comfort working across different industries (consumer products, tech, media, finance)
  • Familiarity with entity setup workflows (LLC/C-Corp formation, banking, registered agents, EIN, state filings)
  • Hands-on with QuickBooks Online beyond basic familiarity (reconciliations, expense categorization, 1099 prep)
  • Light bookkeeping background or willingness to coordinate closely with accountants
  • Familiarity with US tax-prep timelines (quarterly estimates, 1099s, K-1s)
  • Experience coordinating with attorneys on routine legal matters (NDAs, contractor agreements, formation docs)

  • Notion, QuickBooks Online, Superhuman, Google Workspace, Calendly or Reclaim, Slack, Zoom, Loom, Airtable, Zapier or Make, 1Password, DocuSign, Brex/Ramp/Mercury (a plus), Stripe Atlas or Clerky (a plus), ChatGPT or Claude
