  • Work Arrangement: Hybrid
  • Work Location: Palo Alto, CA 94304
  • Work Schedule: Monday through Friday, 8 a.m. to 5:00 p.m.
  • Work Arrangement: Monday, Tuesday, and Wednesday, on-site, and Thursday and Friday, WFH

Key Responsibilities

Human Subject Payments

  • Process payments for human subjects participating in research studies, ensuring full compliance with institutional and departmental policies, as well as ethical guidelines.
  • Maintain accurate, organized, and confidential records of participant payments and all related documentation.

Order Processing

  • Process and track orders for research supplies and materials, ensuring timely procurement while adhering to budgetary guidelines and constraints.
  • Collaborate with vendors and internal departments to resolve any order-related issues in a timely and efficient manner.

Invoice Management

  • Review, process, and track invoices related to research activities, ensuring accuracy and prompt payment.
  • Work closely with the finance administrative lead to reconcile discrepancies and maintain well-organized financial records.

Follow-Up and Tracking

  • Monitor the status of orders and payments, providing regular updates to the finance and administrative lead and proactively addressing any delays or issues.
  • Utilize current tracking systems to ensure timely follow-up on outstanding payments and orders.

Travel Arrangements

  • Coordinate travel logistics for research team members, including booking flights, accommodations, and transportation in accordance with university policies and guidelines.

Education (Desired):

High school diploma and three years of administrative experience, or a combination of education and relevant experience.

Desired Qualifications: Experience processing and tracking payments, strong attention to detail, effective communication skills and tech-savvy

The expected pay range for this position is: $23.59–$29.44
