GENERAL ACCOUNTABILITY:

With a direct report to the Financial Director, this position will provide administrative support to the VP MEA and the local teams in Dubai from South Africa.

DUTIES AND RESPONSIBILITIES:

Executive & Administrative Support

  • Calendar & Meeting Management: Coordinate complex schedules, set up high-level meetings, and proactively manage agendas.
  • Travel Coordination: Organize comprehensive international and domestic travel itineraries, including flights, accommodations, and visa processing.
  • Expense Processing: Processing of monthly expenses for the VP MEA.
  • Presentation & Document Support: Assist with formatting, polishing, and preparing high-quality presentations and various administrative documents.

Dubai Office Management

  • Office Operations: Oversee the daily management, maintenance, and smooth running of the Dubai office.
  • Financial Admin: Handle local invoice processing, tracking, and coordination with the finance department.
  • Team Support: Provide general administrative assistance to the local Dubai team to ensure operational efficiency.

EDUCATION:

  • Certificate or Diploma in business or related area required.

KNOWLEDGE:

  • This position requires confidentiality, accuracy and the ability to manage significant information and numerous projects simultaneously.
  • Must be a self-starter with the ability to receive direction from multiple stakeholders, prioritize tasks and perform in a matrix organizational structure
  • Flexibility to quickly respond to stakeholder needs as required to provide fast response and solutions.
  • Demonstrated record of achievement and ongoing growth in responsibility.
  • Proven strong verbal, written and interpersonal communication skills.
  • Proficient in all Microsoft Office and Google Suite applications.
  • A positive, can do attitude
  • Technical Skills: Proficient in Microsoft Office and Google Suite applications and standard expense/invoice management software.
  • Organization: Exceptional time-management skills with a proven ability to prioritize tasks and meet tight deadlines.
  • Communication: Fluent in English (both written and verbal) with strong interpersonal skills to interact with stakeholders at all levels. French speaking will be an advantage.
  • Problem-Solving: A resourceful mindset with the ability to troubleshoot minor office network or administrative issues independently.
