Position Summary:

The Council Relations Manager is an integral member of the US Council Engagement team, responsible for managing the planning, quality, and execution of Council meetings for a portfolio of 8-10 Councils with a value of $1 million in membership fees, and ensuring a flawless and high impact experience for all Members.

Accountabilities:

Council Meeting Management:

  • Plan and prepare, partnering cross-functionally as necessary, to ensure precise logistics for Council meetings, resulting in a high-quality Member experience.
  • Responsible for managing the entire Council meeting experience - Facility setup and scope, vendor coordination (or sourcing and replacement of vendors, where necessary) for food, beverages, accommodations, transportation, AV/tech support, materials, and hospitality/entertainment. Various meeting formats include meetings at: TCB offices; Members' facilities; hotels or other public venue; held virtually, using remote technology; hybrid meetings (virtual/in-person).
  • Collaborate with Senior Manager, Logistics/Operations to secure hotel accommodations (and meeting space when needed), restaurants and/or group activity and ground transportation.
  • Ensure meeting materials meet TCB high standards and guidelines, and are provided to all Members per the appropriate timeline and channel (12/8/4, Communities).
  • Communicate Member problems as they arise with CRE and Program Director, and proactively manage resolution of all issues.
  • Track attendance and Member feedback.
  • Manage cost forecasts and execute each meeting within budget.
  • Attend NY based Council meetings on-site as needed – attend remote meetings ad hoc, as needed.
  • Continuously seek opportunities to improve our process and enhance the Member experience.

Member Retention Support:

  • Track engagement and retention metrics in the CRM (Sugar) to ensure accurate information related to Members that are: at risk, new, replacement, Center affiliates, previous Members.
  • Proactively identify at-risk Members and work with Program Director and CRE to execute a retention or replacement plan.
  • Report Member engagement, attendance, and retention data using TCB systems.

Assist Council Relations Executive and Program Directors to Deliver Member Engagement Deliverables:

  • Assist in proactive efforts to ensure each member fully participates in their Council, leveraging the value of each Council seat.
  • Help develop a plan for how TCB will connect content and other resources to address Members' business needs.
  • Provide assistance to ensure all written communication to Members (meeting agendas, etc.) is well written, high quality and engaging.
  • Provide member feedback on a timely basis to facilitate analysis of Member feedback from Council meetings so that the CRE and Program Director can continuously improve the Member experience.
  • Assist the CRE and Program Director to ensure Council discussion highlights are captured and shared with Members as insights. Program Directors will write highlights.

Qualifications:

  • Bachelor's degree required.
  • Minimum of 2-3 years' work experience, preferably in a customer facing role.
  • Strong time management skills and able to manage multiple, competing priorities in a dynamic environment.
  • Strong oral and written communication skills.
  • Outstanding organizational skills and attention to detail.
  • Hospitality or event management experience is a plus.
  • Strong team orientation.
  • Naturally curious and a quick, agile learner.
  • Sociable and service oriented.
  • Ability to handle adverse and unexpected situations in a composed and professional manner.
  • Ability to adapt to and initiate change in a fast paced & agile environment.
  • Working knowledge of MS Office products.
