The Team

The resource management team are a global network who work together to fill resourcing needs for matters across all our offices. This role is to cover parental leave for one of the two resource management team members who are based in Asia Pacific. The role reports to a manager based in our London office and will support the permanent RM Consultant for the APAC region.

The Role

We are seeking a Resource Management Coordinator to join our APAC HR team on a full-time 12-month contract covering a period of parental leave. Based in Melbourne, Sydney or Perth, this role will partner with legal teams across the region to help balance lawyer workloads, solve for short term workload challenges, and support reporting for the region. You will work closely with HFW’s global Resource Management team, and in particular the RM Consultant in Melbourne, to ensure operational excellence.

In this role, you will fill requests to allocate lawyers to balance workloads during peaks and troughs, optimizing resource utilization while maintaining high-quality service delivery for the APAC region’s dynamic demands.

Key responsibilities include:

  • Allocate under capacity lawyers to provide additional project support and workload management for fee earners.
  • Align work allocation with client needs and lawyer career goals.
  • Build strong relationships with paralegals and lawyers, and the global Resource Management team.
  • Run reports and disseminate information to Partners and internal teams.
  • Analyse and communicate fee earner capacity and resolve discrepancies in forecasted activities.
  • Maintain data integrity within the BigHand Resource Management system and track the success of resourcing initiatives.

About you

You will ideally have worked in and understand the law firm environment and/or have experience in recruitment. In addition, we are looking for:

  • Excellent organisational skills with a structured, methodical approach.
  • Strong ability to work with data.
  • Exceptional relationship-building skills with an ability to collaborate effectively across teams.
  • Some understanding of the legal environment and work types, particularly in disputes.
  • A consultative approach to problem-solving.
  • Strong Excel skills, with experience working with databases; Power BI experience is a plus.
  • Proactive, self-driven, and motivated to achieve results.
  • Ability to make judgments on resourcing priorities (this will also develop over time).
