We’re looking for a detail-driven Word Processor to support fast-paced Transactional and Litigation teams by producing, revising, and formatting professional legal documents with speed, accuracy, and polished final output.

Join a collaborative professional services environment where you’ll manage document workflows end-to-end—from drafting support and dictation transcription to PDF/Word conversions, e-sign routing, and ongoing troubleshooting—while consistently meeting tight deadlines.

Role Overview

  • Support both Transactional and Litigation practices by preparing, editing, and formatting complex legal documents, spreadsheets, and presentation materials to firm standards.
  • Play a key role in document turnaround by converting files, incorporating markups, creating tables and indices, and troubleshooting document issues while managing competing priorities in a high-pressure environment.
  • This is a fully remote, California-based role requiring work within the state and maintaining a primary residence and work location in California.

Key Responsibilities

  • Produce and edit complex legal documents (e.g., transactional agreements such as purchase and leasing documents, joint venture and corporate documents, pleadings, and court forms) following established firm styles and guidelines.
  • Perform detailed Word document formatting and styling, including cleanup, applying templates/styles, managing headers/footers, and updating content structures.
  • Convert PDFs to Word (and other required formats) and resolve document formatting issues to ensure accurate, consistent output.
  • Complete complex revisions based on attorney instructions and markups, using Track Changes where applicable, and deliver timely work product.
  • Handle substantial editing of transactional documents (e.g., leases and purchase documents) with heavy revisions, ensuring correct formatting and professional presentation.
  • Create and update Tables of Contents and Tables of Authorities in pleadings and other legal filings.
  • Create, format, and edit PowerPoint presentations as requested by attorneys and practice teams.
  • Manage electronic files using NetDocuments and maintain organized workflows across shared systems.
  • Create and edit spreadsheets to support document-related needs with accuracy and consistency.
  • Transcribe digital dictation accurately and efficiently for attorney and team use.
  • Assist end users with troubleshooting document issues and support document readiness for submission.
  • Actively monitor and manage workflow using a shared Outlook inbox and BigHand Hub work folders; prioritize assignments and meet deadlines in a busy environment.
  • Prepare and circulate documents for signature using DocuSign.
  • Edit exhibit images in photo editing software to finalize materials for legal use.
  • Manage multiple assignments simultaneously and respond to changing priorities while maintaining confidentiality and discretion.
  • Other duties as assigned.

Core Qualifications & Requirements

  • High school diploma or equivalent required; college degree preferred.
  • 3–5 years of law firm word processing experience required.
  • Expert-level proficiency in Microsoft Word (formatting, styling, cleanup, and complex document revision).
  • Strong ability to meet tight deadlines and adapt to changing priorities in response to business needs.
  • Demonstrated judgment, discretion, and the ability to handle confidential information appropriately.
  • Self-motivated, able to follow instructions accurately, and capable of working independently in a fast-paced environment.
  • Strong collaboration skills and a team-oriented approach with other Word Processors.
  • Highly organized and detail-oriented with exceptional spelling, grammar, punctuation, sentence structure, and proofreading ability.
  • Minimum typing speed of 70 words per minute.
  • Advanced proficiency in Microsoft Office Suite and Adobe Acrobat Pro DC.
  • Experience with NetDocuments or similar document management systems.
  • Ability to work fully remote from California, with work performed within the state and a primary residence/work location in California.
  • Availability Monday–Friday, 11:00am–7:00pm (local time).

Nice-to-Have Qualifications

  • Familiarity with Adobe Photoshop and document/contract standards such as AIA Contract Documents.
  • Experience with AIR CRE and/or Litera Best Authority.
  • Experience with DocuSign and related e-signature workflows.
