SUPPLY CHAIN & INVENTORY SPECIALIST

Zena Nutrition / VitaMina Labs | Full-Time| Reports to: VP of Operations

Department: Operations & Supply Chain

Compensation: $100,000 – $120,000

POSITION SUMMARY

The Supply Chain & Inventory Specialist is a strategic and systems-driven role responsible for the end-to-end integrity of inventory data, product costing, and vendor performance across multiple brands and retail channels. Acting as an internal subject matter expert, this individual ensures that ERP inventory flows, bill of materials, and COGS data are accurate, current, and actionable—while directly supporting cost negotiations with manufacturers and suppliers.

KEY RESPONSIBILITIES

Inventory Accuracy & ERP Management

  • Serve as the primary owner of inventory accuracy across all SKUs, brands, and distribution channels; maintain standard costs, BOMs, and assembly logic in NetSuite or equivalent ERP
  • Ensure all inventory transactions—receipts, transfers, adjustments, and assemblies—are processed accurately and timely in NetSuite
  • Maintain data integrity across item records, locations, and cost fields within the ERP
  • Identify and resolve system discrepancies; collaborate with operations and finance teams on ERP process improvements

Inventory Reconciliation & Risk Management

  • Lead periodic inventory reconciliations with manufacturers and 3PLs; investigate and resolve discrepancies with clear documentation
  • Identify and escalate inventory risks including supply shortfalls, excess inventory, and cost variances in a timely manner
  • Support cycle counts, reconciliations, and EOM/EOQ inventory close processes

Reporting & Analytics

  • Develop and maintain inventory reporting tools and dashboards to track on-hand, in-transit, and production data on a weekly and monthly basis
  • Support demand planning and production forecasting by ensuring inventory data is clean, timely, and accessible
  • Act as a cross-functional resource for finance, sales, and marketing teams requiring inventory or cost data for planning and reporting
  • Support monthly and quarterly S&OP reporting with inventory data and insights

Cost Analysis & Vendor Support

  • Partner with VP of Operations and CFO on co-manufacturer and vendor cost negotiations; prepare cost analyses, benchmarks, and negotiation materials
  • Maintain standard cost records and flag cost variances against budgeted KPIs
  • Build and maintain strong working relationships with external suppliers and manufacturers to ensure accuracy in order fulfillment, lead times, and reporting

QUALIFICATIONS

Required

  • 4+ years of experience in inventory control, supply chain operations, or related field within a CPG, food & beverage, or consumer health environment
  • Advanced proficiency in Excel; experience building and maintaining operational workbooks and dashboards
  • Advanced experience with NetSuite, Cin7, Luminous, or a similar ERP/inventory management system (NetSuite experience preferred)
  • Strong working knowledge of bill of materials, standard costing, and inventory valuation methods
  • Experience participating in or supporting vendor cost negotiations
  • Analytical mindset with strong problem-solving skills and comfort working with large data sets
  • Excellent communication and organizational skills with the ability to present findings clearly to senior stakeholders

Preferred

  • Experience working with 3PLs and managing inventory across multiple warehouse locations
  • Background in dietary supplements, OTC pharma, or regulated CPG
  • Familiarity with COGS analysis, landed cost models, and margin reporting
  • Experience with demand planning tools or production forecasting workflows

WORKING RELATIONSHIPS

Internal: Reports directly to the VP of Operations. Collaborates closely with Finance, Sales, and Marketing teams.

External: Primary point of contact for suppliers, manufacturers, and 3PL partners on inventory accuracy, cost data, and order fulfillment.
