Job Summary:
The Creative Project Specialist is responsible for supporting the execution and operational management of integrated marketing initiatives, creative workflows, and cross-functional project coordination. This role translates campaign strategies into actionable project plans, manages timelines and workflows, and ensures alignment across stakeholders, vendors, and internal teams. The position serves as a central operational resource for marketing execution, project tracking, financial coordination, and process organization to support efficient and timely delivery of marketing initiatives.
General Duties and Responsibilities:
• Partner with Integrated Marketing Managers to operationalize campaign strategies into structured timelines, workflows, deliverables, and execution plans.
• Translate strategic marketing briefs into organized project plans with clearly defined tasks, dependencies, ownership, and deadlines.
• Manage day-to-day execution progress across multiple marketing initiatives and creative projects to support timely delivery and operational efficiency.
• Track project milestones, identify execution risks, and proactively coordinate resolution of workflow blockers and scheduling issues.
• Coordinate communication and deliverables across internal teams, agencies, vendors, and external partners to ensure smooth project execution.
• Own and manage the Asana project management platform, maintaining accurate project timelines, status updates, and workflow visibility.
• Provide weekly updates and concise reporting on active creative and marketing projects to leadership and stakeholders.
• Maintain centralized tracking of project priorities, dependencies, timelines, and operational status across marketing initiatives.
• Identify process bottlenecks and recommend workflow improvements to improve team efficiency and project execution.
• Ensure stakeholder alignment regarding priorities, deliverables, timelines, and changes to creative briefs or project scope.
• Support operational coordination activities, including shipping logistics, FedEx label processing, document organization, and preparation of business materials such as business cards.
• Assist with logistical coordination for team initiatives, product launches, campaigns, and marketing events.
• Manage ad hoc financial coordination workflows within FSSC systems, including invoice tracking, contract tracking, and payment follow-up activities.
• Support high-volume marketing initiatives involving multiple vendors, influencer partnerships, agencies, and public relations engagements.
• Assist Integrated Marketing Managers and marketing leadership with budget tracking, allocation monitoring, reconciliation support, and operational reporting.
• Maintain organized records, documentation, and project files to support operational continuity and reporting accuracy.
• Ensure compliance with company procedures, project workflows, and operational standards.

Qualifications:
• Bachelor’s degree in Marketing, Business Administration, Communications, Project Management, preferred, or equivalent work experience in marketing operations, project coordination, or administrative support.
• Minimum 3 years of relevant experience in marketing coordination, project management support, creative operations, or campaign execution, preferably in eMobility, consumer electronics, or powersports.
• Experience managing project workflows, timelines, and cross-functional coordination activities.
• Experience using project management platforms such as Asana or similar workflow management systems.
• Strong organizational skills with the ability to manage multiple concurrent projects and shifting priorities.
• Strong attention to detail and ability to maintain accurate project documentation and tracking records.
• Experience coordinating with vendors, agencies, and external partners.
• Basic understanding of marketing campaign execution, creative development workflows, and product launch coordination.
• Experience supporting budget tracking, invoice coordination, and operational financial workflows is preferred.
• Strong communication and stakeholder management skills.
• Proficiency in Microsoft Office applications including Excel, PowerPoint, Outlook, and Word.
• Ability to operate effectively in a fast-paced, deadline-driven environment.
• Strategic thinker with a high degree of ownership, execution capability, and a results-oriented approach.
• Experience working in a multinational company within an international team is a plus.
• Bilingual in English and Mandarin is a plus.
