This role may require a reasonable amount of local travel and external errands as needed.
Assist with the Principal's day-to-day personal affairs, including but not limited to scheduling, appointments, dining arrangements, transportation, document delivery, and other ad hoc matters.
Coordinate travel arrangements, including flights, hotels, ground transportation, visas, insurance, and related logistics, ensuring smooth and seamless travel experiences.
Liaise with external service providers, including housekeeping staff, property management offices, drivers, schools, banks, and other relevant parties.
Track and follow up on personal and family-related matters, providing timely updates and resolutions.
Handle daily purchasing requests, including gifts and other personal procurement needs.
Assist with reimbursements, payment records, and expense tracking.
Support the planning and execution of private gatherings, business dinners, and family activities.
Coordinate venues, catering, vendors, and event logistics.
Maintain organized records of personal contacts, vendors, and other relevant information.
Strictly adhere to confidentiality requirements and handle personal and sensitive information with discretion.
Respond promptly and effectively to ad hoc assignments and urgent requests from the Principal.
Independently assess priorities and manage unexpected situations with flexibility and professionalism.
Qualifications & Requirements
3 years + experience as an Executive Assistant, Personal Assistant, Lifestyle Assistant, Family Office Assistant, Administrative Support professional, or within a high-end service environment is preferred.
Flexible and willing to accommodate occasional irregular working hours and urgent requests.
Proficient in both English and Chinese, with strong verbal and written communication skills.
Experience supporting high-net-worth individuals, entrepreneurs, senior executives, or family offices is highly preferred.
Familiarity with local lifestyle and service resources, including healthcare, education, property management, dining, transportation, and event planning.
Mature, emotionally intelligent, professional, and capable of building and maintaining long-term working relationships.
Strong problem-solving skills, with the ability to drive outcomes effectively even when information is incomplete.
