About the Division

BIAL Marketing Coordination / CMO Office acts as the central hub for marketing planning, campaign governance, stakeholder alignment, and leadership support. The team works closely with internal marketing functions, business teams, agencies, and external partners to ensure timely execution of brand, digital, and business priorities while enabling effective decision-making at the leadership level.

Job Purpose

To drive marketing coordination for the CMO Office while providing essential executive support. This role serves as the central link across the marketing and corporate communications teams, external agencies, and other departments within the organisation, ensuring timely execution and clear, consistent communication.

Role Split

  • 30% – Marketing data and reporting
  • 40% – Stakeholder & Strategic Coordination
  • 30% – Executive Support

Principal Accountabilities & Key Responsibilities

1. Marketing data and reporting (30%)

  • Consolidate inputs for weekly and monthly business updates.
  • Support reviews, leadership meetings, and governance forums.
  • Track campaign timelines, deliverables, and deadlines.
  • Maintain dashboards and track campaign performance metrics.
  • Prepare presentations, reports, and leadership updates.

2. Coordination & Stakeholder Management (40%)

  • Enable smooth communication between the CMO Office and cross-functional stakeholders.
  • Coordinate with secretarial counterparts.
  • Act as a central liaison with HR for training calendars, internal updates, and communications
  • Support team-wide coordination, ensuring alignment on schedules, deliverables, and priorities
  • Manage conference room bookings for CMO + Marketing and Corporate Communications teams
  • Liaise with the travel desk for flight, accommodation, and visa coordination for CMO and team as required
  • Support visitor management, including passes for guests invited by the department
  • Cab reservations for the team as required
  • Support planning and execution of events, launches, promotions, and brand activations.

3. Executive Support to CMO (30%)

  • Manage the CMO’s calendar, prioritising critical marketing meetings.
  • Schedule internal and external meetings with clear agendas and documentation.
  • Prepare meeting briefs, MOMs, and action trackers.
  • Coordinate travel and logistics for CMO +marketing-related engagements.

4.Financial & Operational Responsibilities

  • Track marketing budgets, invoices, and vendor payments.
  • Coordinate with Finance on PO creation, invoice and expense tracking, while managing SAP requirements including PR/GRN creation and tracking.Maintain accurate records of marketing spends and campaign budgets.
  • Coordinate with Procurement and Finance for timely processing and closure

Education

  • Graduate
  • 5 – 7 years of experience in marketing coordination, program management, or executive support

  • High level of professionalism, ownership, and follow-through
  • Proficiency in MS Office, Outlook, and MS Teams
