ABOUT THE ROLE

We are a growing mortgage team seeking a seasoned Loan Processor who can hit the ground running with complex Non-QM files while maintaining a high-volume pipeline with precision and calm. This is not an entry-level position — you must be able to pick up, structure, and drive files from submission to clear-to-close with minimal hand-holding.

You will be the operational backbone of our production team. You interact directly with borrowers, loan officers, underwriters, and third-party vendors. How you show up — organized, proactive, and solution-oriented — directly impacts our close rate and our reputation.

REQUIRED EXPERIENCE & QUALIFICATIONS

Non-QM Expertise (Non-Negotiable)

  • Hands-on processing experience with: DSCR (Investor Cash Flow), Bank Statement loans (12 & 24 month, personal and business), 1099-only income documentation, and Profit & Loss (P&L) statement loans
  • Understanding of expense ratio methodologies: uniform 50%, CPA-verified, and P&L-based
  • Familiarity with Non-QM tradeline requirements, credit score overlays, and manual underwriting standards
  • Ability to read and interpret Non-QM program guides and apply guidelines independently

Conventional, Government & Specialty Loans

  • FHA, VA, USDA, and Conventional (Fannie/Freddie) processing — full pipeline management
  • Down Payment Assistance (DPA) program knowledge: layering DPA with first mortgage products, understanding compliance and documentation requirements
  • Experience streamlining refinances: identifying qualifying docs, managing title/payoffs, and accelerating timelines

CORE RESPONSIBILITIES

  • Intake and review loan files for completeness and accuracy at submission
  • Order and manage all third-party services: title, appraisal, flood cert, HOI, and VOE/VOD
  • Identify file deficiencies early and proactively communicate resolution path to the LO — never wait for underwriting to find it first
  • Restructure loan files when product or documentation changes are needed (e.g., switching from Full Doc to Bank Statement, or DSCR when borrower income falls short)
  • Clear conditions and coordinate responses between underwriting, LO, and borrower
  • Manage an active pipeline of up to 30 files simultaneously — tracking status, outstanding conditions, and upcoming deadlines across all files at once
  • Maintain clean, organized digital files in the LOS at all times — every document indexed, every condition tracked
  • Communicate clearly with borrowers: set expectations on timelines, explain document requests, and de-escalate concerns professionally
  • Stay current on guideline updates, program overlays, and product changes without being prompted

SKILLS, ATTRIBUTES & WORK STYLE

Technical Skills

  • Encompass (ICE Mortgage Technology) proficiency required — you must be comfortable managing milestones, conditions, document stacking, and pipeline views without training
  • Comfort with document portals, e-signature platforms, CRMs, and digital communication tools
  • Able to learn new systems quickly with minimal training
  • Strong working knowledge of income calculation, asset documentation, and title/escrow processes

Soft Skills — Equally Required

  • Stays calm under pressure: high-volume pipelines and tight deadlines are the norm, not the exception
  • Friendly, clear, and professional communication with borrowers and colleagues — no one should feel like a burden
  • Proactive mindset: flags problems before they become crises; surfaces solutions, not just obstacles
  • Organized to the point of obsessive — every file has a status, every condition has an owner, every deadline is visible
  • Goes the extra mile: willing to jump on a file late, research a guideline edge case, or reprocess a doc to save a deal

PREFERRED — NICE TO HAVE

  • Experience with non-warrantable condos, LLC-vested investment properties, or asset-based qualification
  • Familiarity with interest-only products and 40-year amortization structures
  • Prior experience working directly with in-house underwriting teams or scenario desks
  • Bilingual (English/Spanish) — a plus in our Houston market
