Role Description

This is a full-time remote Executive Assistant role. The Executive Assistant will provide comprehensive executive and administrative support, including managing schedules, preparing expense reports, handling communications, and coordinating key tasks.

The role may also involve organizing meetings, tracking priorities, supporting operational workflows, and ensuring smooth day-to-day operations for the executives they support.

Key Responsibilities

Manage executive calendars, scheduling, and time prioritization

Coordinate meetings, prepare agendas, and track action items

Handle professional communications with clients and internal teams

Prepare and track expense reports and administrative documentation

Support operational workflows and ensure tasks are completed on time

Organize files, documents, and systems to maintain efficiency

Assist with project coordination and follow-ups

Use productivity tools and AI-powered platforms to streamline workflows

Who We Are Looking For

We are looking for a proactive, highly organized professional who thrives in a remote work environment and enjoys supporting leadership teams. The ideal candidate is resourceful, detail-oriented, and capable of managing multiple priorities with professionalism and efficiency.

Experience or familiarity with real estate operations is highly preferred, as many of our clients operate within the real estate industry. Additionally, candidates who are comfortable leveraging AI tools and modern productivity technologies to streamline workflows and improve efficiency will stand out in this role.

Qualifications

Skills in Executive Administrative Assistance and Executive Support

Proficiency in managing Expense Reports and Administrative Assistance

Strong communication skills

High organization and attention to detail

Proficiency with productivity tools (calendars, docs, scheduling systems)

Experience with real estate processes or operations is a strong advantage

Comfortable using or learning AI-powered tools and automation platforms

Previous remote work experience is a plus
