Currently, I am pursuing a Graduate Diploma in Psychology at UTS, with plans to complete the Graduate Diploma in Psychology (Advanced) and a Master’s in Psychology over the next three years to become a Registered Psychologist. My background in public health has provided me with a strong foundation in health systems, research, and community well-being, while my experience in project work and coordination has enhanced my organisational, communication, and problem-solving skills. As I transition into psychology, I am particularly interested in mental health advocacy and evidence-based interventions that improve individuals' well-being. I am committed to empowering individuals by facilitating access to essential mental health services, advocating for their needs, and driving positive health outcomes. headspace is Australia’s national youth mental health foundation, supporting young people aged 12–25 with mental health, physical health, work, study, and social needs. Key accountabilities: * Provide daily office and administrative support, including answering phones, booking and confirming appointments, transcribing letters and reports, and scanning client files. * Build rapport with young people, families, and carers, handling enquiries sensitively, confidentially, and in a youth-friendly manner. * Greet visitors, manage reception duties, and maintain a welcoming, clean, safe office environment. * Oversee electronic medical records, contacting young people to schedule appointments, confirm attendance, and manage waiting lists. * Manage Medicare billing, batching, and electronic claims, ensuring compliance with statutory requirements. * Support meetings and events, including scheduling, catering, and preparation/distribution of agendas and minutes. * Prepare petty cash, invoices, and expenditure reconciliations monthly; ensure adequate office and medical supplies. * Enter data accurately and timely into reporting systems, maintaining client files in line with organisational and legislative standards. * Assist service development aligned with the Strategic Plan and local client demand. * Support leadership to improve, establish, and maintain administrative processes. * Maintain knowledge of Medicare billing and payments to allied health and medical contractors. * Provide administrative support for policy, program, and project implementation. * Participate in supervision, reflective practice, audits, and continuous quality improvement initiatives. * Ensure compliance with timeframes, statutory obligations, and organisational policies; respond to complaints professionally. * Represent headspace and Flourish Australia at team meetings, planning sessions, and community events.
Key Accountabilities: • Deliver high-quality customer service to patients, families and carers through professional communication, responding to phone and email enquiries, and maintaining a welcoming clinic environment. • Support a collaborative team culture through open communication and effective liaison with clinicians and administrative staff within a multidisciplinary team. • Provide administrative support including phone and email correspondence, document management, filing, faxing and accurate data entry while maintaining organised patient records. • Manage competing priorities while maintaining attention to detail and ensuring efficient clinic operations. • Process patient billing through Medicare and other funding schemes, ensuring compliance with Privately Referred Non-Inpatient (PRNIP) guidelines and submitting claims to Medicare and the Department of Veterans’ Affairs (DVA). • Capture patient financial consent and conduct routine audits of scheduling and billing data to ensure accuracy and compliance. • Maintain clinic booking systems including scheduling and rescheduling appointments, patient check-in/out and recording relevant administrative and billing information. • Maintain confidentiality and privacy of patient information in accordance with organisational policies and relevant legislation. • Manage incoming referrals in line with clinic triage processes, including coordinating urgent appointments and liaising with clinicians when required. • Prepare clinic documentation by verifying referrals, contacting patients regarding incomplete referrals and ensuring records are ready for clinic sessions. • Comply with Workplace Health and Safety requirements, including mandatory training and emergency procedures. • Work effectively both independently and within a multidisciplinary team, undertaking additional duties as required.
Key responsibilities: The APS5 Planner will have a considerable level of contact with internal and external stakeholders and will be required to communicate with and provide advice on a range of service delivery matters to resolve moderately complex to complex enquiries. Responsibilities of the role include but are not limited to: - Engaged directly with participants and their representatives to gather relevant information, identify goals, and develop tailored NDIS plans aligned with their aspirations and the latest legislative updates. - Conducted evidence-based decision-making to determine funded supports that complemented informal and formal supports. - Collaborated to identify current and future support options, including informal, mainstream, and community services. - Facilitated connections between participants and service providers to ensure smooth delivery of supports, resolving issues and complaints related to participant plans as needed. - Integrated new definitions of NDIS supports, adhered to updated funding guidelines, and communicated changes effectively to participants for transparency and understanding. - Contributed to the management of workflow in collaboration with team leadership. - Completed administrative and data entry tasks related to participant records, task workflows, and ad-hoc business requests, such as plan change requests (PCRs). - Partnered with planning partners, internal teams, and multiple stakeholders to ensure high-quality planning and participant-focused outcomes. - Maintained detailed records to uphold NDIA compliance standards and contributed to achieving key performance indicators, including planning targets. - Identified opportunities for process enhancements, implemented reforms from October 2024 legislative changes, and supported ongoing policy updates and new schedules.
