In my role as Office and Facilities Manager, I was responsible for the smooth and efficient operations of a 120-person office in the heart of the West Loop, Chicago. Among a variety of tasks, I oversaw daily facility operations, managed all office-wide resources and place weekly supplies orders, maintained all office records, and coordinated domestic and international product deliveries to the office. I served as the point of contact for all external operational vendors and organize all monthly and annual facility maintenance. I also served as the point of contact for Egencia (AmEx) travel platform for Coates North America. Additionally, I was responsible for optimizing the employee’s in-office experience, which including planning and executing 1-2 monthly in-office events with a $2800 annual budget. I also planned and executed two all staff, off-site events with a $30,000 per event budget. I served as the internal point of contact for a 7-figure build out of an additional floor of office space in Coates' current building. In addition to attending weekly meetings, I connected with the construction Superintendent daily and shared updates between the construction team and the Coates' senior leadership. I managed the Asana project in real time, keeping all as construction stakeholders up to date. I assisted with obtaining permits, coordinating supplies load-in, and facilitated communication between the landlord and Superintendent.
As the personal assistant to Lara Morgan Lee aka: Sports Dr. Morgan, I managed projects, calendars, and administration both for her family and two companies; SDM Enterprises, a health education startup, and private practice, Lara Morgan Lee MD pLLC, the face and voice behind @SportsDrMorgan. SDM is a teaching, coaching and social media company that serves to educate through bridging the postpartum care gap for practitioners and new mothers, to elevate the traditional way medicine and care is delivered, to reflect the same level of attention and care as athletes. Lara Morgan Lee, MD is a telemedicine practice offering best-in-class individualized care in exercise and sports medicine. For SDM, I coordinated content development and social media partnerships with health-sector providers. I successfully facilitated the company's first five-figure partnership collaboration with a mid-sized pharmaceutical company. The partnership includes content creation on multiple social media platforms, mainly Instagram and TikTok. I also manage all mailings for the businesses. In addition to these tasks, I supervise and engage with play-based learning for multiple children, as we worked exclusively out of the home. I managed administrative tasks for the family including research, booking appointments, and general home organization.
In this role I served the President and CEO, along with executive team leads, in project and administrative management. I was responsible for updating, documenting, and disseminating the official contact directory for over 100 Board of Directors. I oversaw the President's calendar management and coordinated large-scale meetings, both on and off-site, for various members of the WBC staff. This included events at Cinespace Studios, The Adler Planetarium, and Gensler's main office. I was also tasked with managing operational details for the new President's first two quarterly Board meetings. This included outreach to Board members and their assistants, as well as coordinating all printed materials for the meetings. I contributed to the fundraising initiatives with the Global Strategic team to secure funding for the annual international Gala.
In this part-time role, I was cross-trained on various administrative duties within the restaurant. In addition to extensive training, I completed a month-long wine course with the on-site sommelier. I was responsible for coordinating reservations for small and large parties, and VIP guests. Additionally, I was responsible for immediate problem solving for guests as well as answering a very high volume of phone calls. I assisted with operational duties including restocking supplies.
