• Supports the Talent Acquisition and HR teams with interview scheduling, onboarding, and new hire setup. • Executes tasks to assist the Talent Acquisition team and serves as a key point of contact for employees and managers seeking assistance with recruitment, employee recognition on the recognition platform and Talent Acquisition projects. • Manages the organization of meetings and events, which involves booking conference rooms and arranging video and on-site interviews. • Assists in succession planning efforts and manages the entry and exit interviews of the employees. • Establishes and manages legal, facility, and HR records to ensure adherence to corporate records management standards. • Performs weekly facilities onboarding and offboarding tasks—new hire desk setup and takedown, collection of assets, etc Maintains the security and safety of the office by managing access badge inventory for vendors and contractors, working closely with building administration for facility access, etc. • Coordinates events, including training, large meetings, onsite and offsite group events, catering, etc. • Arrange meetings, Culture Club workshops, and travel arrangements for leaders and handle all logistical concerns such as booking meeting rooms, preparing material, and equipment, and tracking employee attendance. • Supports and drives Burnaby-based sustainability and community awareness programs such as ESG, ERGs, and DE&I. • Supports the Facilities team and employee base with various administrative tasks and initiatives, including but not limited to ServiceNow incident requests, space planning and management, onsite vendor management, janitorial oversight, parking coordination, etc., while maintaining a strong customer focus.
