• Diarising/conforming the Executive director and director’s diary. • Meetings and functions or tasked that in to be attended. • Providing reception service (telephone) and communicating successfully with the public, visitors, and employees. • Office administration maintaining filing system for acquiring information needs, attending meetings and taking minutes, courier for urgent document by hand, sending invitations. • General office management by providing fax,photocopy,scaning,compiling letters,reports,keeping track and record of reports, record keeping and filing documents, determining and administering urgent of out coming and outgoing correspondence for and from the director. • Attending presentations/workshops. • Editing and typing letters, Memorandums, and Report. • Familiar with the Employment Equity policies and Affirmative Action Plan. • Familiar with Batho Pele Principles.
1. Termination of services that is resignation, retirement on pension, dis-missals. 2. Calculation of monies due to exiting officials e.g. leaves gratuity/pro-rata bonuses etc. 3. Calculation and determination of debts e.g. leave without pay, over granted leave, over paid salary etc. 4. Responding to Telephone Enquiries and Directing Them to Relevant Offices. 5. Handling of Subsistence and Travelling Allowances etc. 6. Knowledgeable of persal system. 7. Knowledgeable of gross list for interviews. 8. Knowledgeable of inter-departmental transfers, placement etc. 9. Knowledgeable for compiling memorandums to area Commissioner’s Office.
