Processed class registrations, facility applications, permits, payments, refunds, receipts, changes, and cancellations utilizing CivicRec software. Took reservation requests and reviewed applications, accompanying documents and fees to ensure completeness and adherence to City of Irvine policies. Assisted with categorizing reservation requests for appropriate fee schedules including calculating fees and deposits for facility reservations and troubleshooting bookkeeping errors. Performed a variety of general administrative tasks, including typing, data entry/retrieval, copying, filing, e-mailing, and handling the front desk phones.
Support facilities coordinator with pre-event operational planning, client management, and clerical support. Create event proposals to present upcoming private social functions, revised event details to comply with State, County and City social gathering restrictions during COVID-19. Act as main point of contact during social functions held at the Thomas Center. Direct vendor arrival for event set up and departure from the facility. Track venue statistics during COVID-19 using excel spreadsheet; monitor venue attendance, track number of events cancelled or postponed and determine gain/loss of revenue each month. Independently direct daily operations of the Thomas Center Events Team; answering client inquiries, turning inquiries into event reservations and updating clients regarding new venue policies and restrictions.
Serve as the Event Assistant for two event venues, the Historic Thomas Center and the Rosa B. Williams/352 Artspace. The Historic Thomas Center serves as a venue for over 200 special events annually and has garnered national recognition for its wedding services. The Rosa B. Williams/352Artspace is a unique participatory art center offered to the community who are interested in both dance and art. I assist the facility coordinator by providing venue coordination for events ranging from wedding ceremonies/receptions, cultural events, corporate meetings, university banquets, dances and more.
Responsible for overseeing 40 individual vendor booths at the 38th Annual Downtown Festival and Art Show. Greeted artist, directed check-in and communicated the load-in/load-out procedures of the festival. Mitigated artist conflict by implementing customer service tactics. Assisted in the delivery of 235 artist lunches across 5 city blocks.
A crew member at the Stephen C. O'Connell Center, working rotating shifts as event staff, changeover crew and technical crew. As event staff I assist guest by answering question, taking tickets and directing guests. As changeover crew I assist in assembling/dissembling bleachers, setting/removing sports flooring and general arena clean up. As technical crew I assist with set up and take down of in house stages and concert equipment.
Organized the physical book collection of Marston Science Library. Re-shelved materials on the 2nd-5th floors, performed shelf reading to make sure that books are in their proper places on the shelves, and kept the stacks neat and tidy.
