Arranging itineraries, travel, transport and accommodation. Collation and logging of expenses. Key contact for internal and external stakeholders – following up on meetings and communications. Support for Director of Delivery. The preparation and production of monthly reports, chasing and collating. Arranging workshops and events, including annual dinner, Summer Social, Sub Regional Events – including venue, accommodation and travel. Internal and external meeting rooms. Phones, routers, SIM cards and roaming for the team. Reception and administrative coordination support where necessary. Collate and log expenses and mileage. Office Management – sundries, stationery, refreshment orders.
Complex diary management with internal and external stakeholders for the CEO as part of his executive and non-executive roles. Coordinating and working with the governance teams at government bodies, regulatory bodies, and large corporates where our CEO was a non-executive. Recording detailed notes and minutes for meetings. Ensuring the CEO’s time is managed effectively ensuring they are well prepared with agendas, locations, and any pre-reading. Support with meetings, events, visits and hospitality and various inboxes. Gatekeeping between external stakeholders and CEO. Personal errands for CEO both personal and home. Co-ordinating UK and International Travel and meetings. Wider executive support to the Board of Directors. Research, Procurement, and Management of Projects as needed.
Facilitate complex diary management, arrange meetings – reschedule when required. Attend meetings with the Directors, ensuring they are well prepared with agendas, locations, pre reading – taking minutes as required. Research overseas trips, planning routes and potential itineraries. Booking regular travel and accommodation, national and international, ensuring any visas, permits, vaccinations are organized together with all travel expense management. Collate credit card statements & expenses. Management of annual leave, and sick leave. Office Management – sundries, stationery, refreshment orders.
