• Accurate and timely preparation and processing of customer invoices. • Assist with accurate and timely preparation and processing of progress billings and final billings. • Assist with managing AR collection efforts. • Facilitate the review of labor details and work closely with tech to resolve labor detail billing issues efficiently. • Work closely with the Management to prepare the approved and necessary adjustment to invoices and work orders. • Communicate with customers in a friendly and professional manner. • Assist with timely entry of accounts payable invoices. • Match accounts payable to purchase orders and facilitate the resolution of related issues. • Assist with accurate and timely entry of company credit card charges. • Assist with reconciling credit card statement to receipts. • Provide phone support as needed. • Provide support to staff when appropriate. • Reconciling monthly bank and deposit statements • Manage and process high volumes of data accurately • Create debit memos & email remittance advice to reconcile vendor accounts • Process payables, ACH payments & print checks when necessary • Update/maintain all databases, archives, and paper filing systems • Generate/export data reports, spreadsheets, and documents as needed • Support accounting with monthly, quarterly, year-end tasks and reports
•Daily Order entry in Quickbooks •Answer & resolve any customer inquiries via phone, email or live chat •Create invoices & bill resell dealers • Manage & Prepare all shipping paperwork •Receive packages of materials/hardware & place in warehouse •Assist in data entry in Microsoft Office & Excel •Process all refunds/change requests •Oversee process of all orders daily & charge correctly •Email collection & create spreadsheets every week for marketing •Update & maintain all databases, archives, and paper filing systems •Monitor/Review databases & correct errors or inconsistencies •Generate & export data reports, spreadsheets, & documents as needed •Manage & process high volumes of data accurately •Assist with bookkeeping & use accounting software •Validate tax IDs & information for governmental customers •Create & edit all customer & vendor files to ensure accuracy •Set up & maintain new customers & vendors in QB •Review statements, research outstanding payments •Create debit memos & email remittance advice to reconcile vendor accounts • Process payables, ACH payments & print checks when necessary •Utilize skills such as account reconciliation, AP/AR to maintain financial records •Manage office procedures & general office coordination ce procedures & general o ce coordinat •Work & communicate directly with CEO & COO •Support accounting with monthly, quarterly, year-end tasks & reports •Handle regular activities without prompting, & advise in advance with issues/delays •Work independently & execute tasks with minimal supervision
• Support the sales team while providing customer base with extended focus on client retention • Ensure availability in phone queues to take incoming agency and company calls • Assist Agents/Brokers & Agency Managers with writing of applications and other related transactions • Call 1-200 canceled policies per the company standard • Assist in customer retention efforts as instructed • Help Agent/Broker & Agency Managers with their solicitation of leads/prospects while updating company system • Deliver exceptional service via telephone and other available interaction options • Act as point of contact between insured, insurer, underwriter, and Agent/Brokers • Insure important info is updated and documented in systems • Take payments and answer questions • Make copies of documents and email/fax to correct department • Set sale appointments with clients • Call potential clients and sell policies • Fill out/send out policy contracts to potential clients (paperwork/emails) • Call/answer up to 200 calls a day • Work remotely when asked to • Meet every monthly sale quotas
