Provided direct production support across the 116th NAACP National Convention, working cross-functionally with talent, production, and partnerships teams. Managed HUB Main Stage, scheduling, call sheets, and internal run-of-show documentation to align key stakeholders on live and pre-recorded programming. Coordinated with venue staff and show runners to ensure successful execution of red carpet, main stage, and breakout events. Played a key role in preparing speaker materials, showbooks, and final program assets in lead-up to major live moments. Worked closely with leadership to uphold the NAACP's cultural mission and represent the brand with care and precision across all events.
Key contributions to talent booking, contract negotiations, and replacement efforts for the 56th NAACP Image Awards and NAACP+ Podcast launch, ensuring alignment with organizational goals. Created, organized, and distributed briefing memos, call sheets, and run-of-show (ROS) to talent teams, publicists, and production, while providing real-time producer notes on set. Managed onsite talent handling of red carpet logistics and vendor coordination to ensure seamless event execution of the 56th NAACP Image Awards programming. Worked closely with sound and tech teams for soundchecks and live event programming, ensuring all stakeholders had the latest ROS. Scheduled key meetings and provided executive support to key stakeholders, C-suite, and Chief Marketing & Communications Officer (CMCO) during NIA week and industry events.
Supported end-to-end talent outreach, confirmation, and onboarding processes for over 75 speakers, artists, and thought leaders. Created and managed Airtable tracking systems for real-time updates on contracts, assets, and scheduling. Served as a key liaison between talent, agency partners, and internal Essence teams to ensure smooth communication and alignment. Provided real-time stage support and backstage coordination to ensure seamless show flow, contractual fulfillment, and speaker transitions. Collaborated with stage leads to develop daily run-of-show (ROS) docs and troubleshoot onsite changes. Ensured all speaker deliverables (bios, headshots, AV needs) were collected and uploaded across systems ahead of production deadlines. Participated in strategic programming meetings to offer insights on talent curation, panel flow, and audience engagement.
