Prepare templates for invoices contracts and addendums for all exhibitors, sponsors and other customers participating in the show: Prepare exhibit space contracts and invoices for all exhibitors at the New York International Auto Show: Prepare sponsorship and banner contracts and invoices; Prepare and distribute invoices and tear sheets for Show Program Advertising; Distribute all contracts and invoices to exhibitors, sponsors and internal departments; Create and maintain multiple tab and page spreadsheets tracking invoices, contracts, payments and receivables; Distribute reports to Show Director, President and Accounting Manager on a weekly basis; Maintain regular communication by telephone and email with exhibitors, exhibit service companies, sponsors and other customers of the show; Work closely with support staff to maintain organized filing system for all contracts, invoices and payment; Make collection calls and send emails to all companies having open receivables; Coordinate and schedule annual floor plan review meetings; Create various reports and spread sheets as requested by management staff; Coordinate distribution of invitations, confirmations and attendee lists for Annual Exhibitor Meeting; Schedule and prepare necessary packets and information for Floor Plan and Exhibitor Meeting; Send periodic blast emails to exhibitors, sponsors and other customers; Additional tasks and duties as required.
