Office Operations & Facilities: manage daily office operations, supplies, equipment, vendors (cleaning, maintenance, security, catering), space optimization, moves, renovations, health & safety compliance, and workplace procedures. Financial & Contract Management: oversee office budgets, invoices, contract updates, and cost control for services and supplies. HR: employee support, coordinate access, welcome packs, equipment delivery, onboarding/offboarding processes, wellbeing initiatives and team-building activities. Reception, Admin & Events: act as the main contact for employees and visitors; manage reception, mail, couriers, internal communications (local office procedures, workplace guidelines), travel arrangements, room bookings, and corporate meetings and events. Cross-Department Collaboration: work closely with HR and IT to support internal processes, and employee needs.
Administration & Finance: administrative management and tax/labor compliance in coordination with the consultancy firm. Invoicing in ERP, contact with national and international clients/suppliers, payment/collection control, and debt recovery. Preparation of banking transactions, purchase/sales orders, hardware procurement, financing procedures, and contract follow-up. People Operations: management and updating of the employee database (hires, terminations, contracts). Annual work calendar, employee time tracking, absences, vacations, leaves and personnel expenses control. Onboarding/offboarding processes. Payroll review and validation, including transfer file generation. Administration of health insurance, handling employee inquiries. Occupational Health & Safety (OHS): Interlocution with External Prevention Service (SPA) and supervision of regulatory compliance. Management and updating of preventive documentation (CAE). Organization of medical check-ups and annual office visits. Training in ORP for employees, emergency measures plan, etc. Office Management: supervision and maintenance of the office, coordinating cleaning and repairs with concierge services. Management of insurance and supply contracts. Coordination of office supplies and national/international shipments. Handling relations with property owners and managing rental contract. Operations Support: R&D grants management. Handling of waste declaration procedures. Business trips. Executive assistance to the CEO and administrator. Managing files.
Throughout my career transition journey, I completed various personal & professional development trainings and volunteer projects. These programs have been instrumental for my deep self-knowledge process and for shaping my career path. These experiences have not only enriched my vision but also equipped me with new skills that I´ll be able to put into practice in my future role.
With a multifaceted role, I successfully managed room and office rentals, organized quotes for events up to 100 people, handled contract issuance, invoicing, monthly billing, and financial follow-up. I efficiently managed office supplies, attended sales visits, and provided excellent global customer service support.
